What to text a customer after a missed call

You missed a call. Maybe you were on a ladder, maybe you were driving, maybe you were at your kid's game. The person on the other end had a reason to call, and right now they're deciding whether to wait for you or call someone else.

A short text can make that decision for them. Here's what I've found works, and what doesn't.

Keep it short and sound like a person

The best missed-call texts read like something you'd type with your thumb. They say who you are, say you saw the call, and ask one easy question. That's it.

The all-purpose one:
"Hi, this is Mike with Ridgeline Plumbing. Sorry I missed your call. I'm on a job right now. What can I help you with?"

It works because it answers the two things a caller is wondering: did anyone notice, and is this a real company? The question at the end gives them something easy to reply to.

A few versions for different situations

During a busy season: "Hi, it's Sarah at Summit Heating & Air. We're slammed with no-heat calls today but I saw yours. Is your furnace completely out, or still running a little? I'll get back to you as soon as I can."

Asking about urgency helps you sort emergencies from tune-ups without a phone call.

After hours: "Thanks for calling Ridgeline Plumbing. We're closed for the night. If water is actively leaking, shut off the main valve and reply URGENT. Otherwise, tell me what's going on and I'll reach out first thing in the morning."

For roofing or bigger jobs: "Hi, this is Dan with Canyon Roofing. Sorry I missed you. Is this for a repair or a full replacement? If you can, text me a photo and I'll take a look."

Photos are underrated. A lot of homeowners would rather send a picture than describe a problem, and it saves you guessing.

What to avoid

Timing matters most

A perfect text sent two hours later loses to an okay text sent in 30 seconds. The caller is usually still holding their phone, still looking at search results. That's why I built TextBack Trades to send the text automatically, right after the call goes unanswered. But even if you do it by hand, the faster the better.

Stay on the right side of the rules

Replying to someone who just called you is about as clear-cut as texting gets, but a few habits keep you safe: only text the person who called, don't add them to a marketing list without permission, and honor STOP right away. If you send texts through a business texting service, the number usually has to be registered with the carriers first (called A2P 10DLC).

See what a text-back looks like. Call (208) 247-3047, let it go unanswered, and watch the text come back. Plans start at $197/mo for founding clients, with a 30-day pilot and no contract. See pricing.

How texting works: calling the demo line means you'll get a text reply from TextBack Trades (one automatic reply, then only replies to your messages). Msg & data rates may apply. Reply STOP to opt out, HELP for help. SMS Terms · Privacy
